Which integrations does Sastrify currently support?

Sastrify currently offers a total of 14 HRIS integrations: Workday, Personio, BambooHR, HiBob, Sage HR, SAP Success Factors, Deel, Factorial, Remote, Google Workspace, Okta HRIS, Entra ID, Zoho People, and Datev HRIS.

Which Sastrify user role do you need to set up the integration?

You need to be an admin in Sastrify to be able to connect the integration.

How easy is it to set up the connection?

The process is as user-friendly as possible, where you are supported by a fully guided flow. And it does not require any coding or technical knowledge. The initial process itself can take anywhere from a few minutes to a maximum of 60 minutes, depending on the amount of data and the tool being integrated.

Can I set up multiple connections involving multiple HRIS tools or accounts?

Yes, you can, but only if you are on Sastriy's Professional or Platinum plan. Customers on the Essentials plan can only create one integration at a time.

What data is collected?

The integration will retrieve only the following data points:

  • Employee data: ID, Full Name (first name, last name), Work email, Job title, Team, Department, Employment date
  • Department data: Name, ID, Parent ID, Manager name, Manager ID
  • Team data: Name, ID, Parent ID, Manager name, Manager ID
  • Cost Center data: Name, Parent ID, Manager name, Manager ID

This integration does not have access or pull other types of personnel data that are considered private and confidential, such as: salary information, employee's personal status/information, or the terms and conditions of the employment relationship.

How do we know that this integration is only retrieving the employee data it needs to retrieve, and not other data it does not need to read?

The type of data points this integration retrieves is transparently communicated on the very first page of the setup process when you click the "Connect" button to initialize the connection.

How is the HR data collected, stored and processed by Sastrify?

When using the HRIS integration and after an integration is connected, we retrieve the required data set and securely transfer it to Sastrify. During transmission, the data is encrypted in transit using industry standard encryption protocols to ensure its security during the synchronization process. Once the data reaches Sastrify, it is stored in our database hosted on AWS. The database uses the industry standard AES-256 encryption algorithm, ensuring that the data is protected at rest and preventing unauthorized access to the data.

We are committed to protecting the privacy and data of our customers and their employees. This commitment is reflected in the steps we take to ensure that all data processing activities comply with GDPR standards.

Is the data encrypted?

Yes, data is encrypted both in transit and at rest. When data is transmitted to Sastrify, it is encrypted to ensure its security in transit. Once the data reaches our systems, it is stored in an encrypted database on AWS, protecting it from unauthorized access. This dual encryption - in transit and at rest - provides comprehensive protection for your HR data. You can refer to the AWS encryption documentation for more information on how our database encryption works.

Can I disconnect an integration and what happens if I do?

Yes, you can. Simply go to your Settings > HR Information Systems. Click the Manage button on any of the HRIS cards to open a setup page, then hit "Disconnect".

When the connection is disconnected, all imported employee data will be deleted along with their assignments to their tools or subscriptions within Sastrify. Please note that once the action is performed, it cannot be undone.

Can I change the naming of certain departments or cost centers from Sastrify?

No, Sastrify and its integration only imports data into the platform, with information flowing in one direction. No changes can be made to the imported data within the Sastrify application. If changes are to be made, they must be made in the HRIS tool, and when the data is synchronized, the data displayed in Sastrify will reflect the newly adjusted data coming from the source.

When I click on one of the departments or cost centers, it does not give me any information about the tools that belong to or are used by that department or cost center. Why is this happening?

This happens because most likely the assignments are missing. All you need to do is to assign tools to the appropriate departments and cost centers. The integration does not perform this task automatically. But assigning tools is very easy! You can do it from the Tool Stack or from the individual tool page.

From the Tool Stack:

  1. Go to the Tool Stack section.
  2. Click on the 3-dots icon of the tool you want to assign or change an owner to.
  3. Select “Edit Info” to open an input view where you can enter key information.
  4. Look for the "Department", "Team", and "Cost Center" field.
  5. Choose from each of the drop down menu the value best suited for that specific tool.
  6. Confirm your selection by hitting "Save".

From the individual page:

  1. Go to the Tool Stack section.
  2. Select the desired tool or subscription.
  3. Click the "Edit" button located at the upper right corner of the page
  4. Find and select the Tool Owner in the drop down menu.
  5. Confirm your selection by hitting "Save".

Can I assign multiple tools to a department or cost center at once?

Yes, you can! Go to the Tool Stack section, and select the tools you want to bulk assign by using the check boxes located on the left side of each tool. Click the "Edit Details" button in the lower right corner of the page. Perform the assignment and hit the "Save Changes" button.

We want to limit who can see the imported employee data in Sastrify. Can users with a viewer role see what's on the Company Data page?

Do not worry! Only Sastrify users with an Admin role can access the Company Data page and view the imported data coming from the HRIS integration. This page and the information it contains is not accessible to users with the Contributor or Viewer roles.
